Volleyball Canada and select Provincial/Territorial Organizations are requesting Proposals from responsible Vendors to meet the Volleyball community’s needs for a common online registration system.
Volleyball in Canada is organized with a unique National Sport Organization (NSO) and a unique Provincial/Territorial Sport Organization (PTSO) for each province/territory. Both the NSO and each PTSO organize and offer various types of Volleyball events for Volleyball participants in Canada. These can be competitions such as tournaments and leagues, training opportunities for athletes such as camps or clinics, or leadership development events for coaches, officials or administrators. Generally speaking, the volleyball season runs from September through August.
It is the current policy of the NSO and PTSOs that registrants must be members of the PTSO of their residence. Members may be members of a Club or they can be unattached. Membership fees vary according to the participant’s role. Membership is designated over a 12 month period from September through August. Note that individual memberships are purchased at the PTSO level only and that entitles the member to be part of the NSO as well. It should be noted that the VRS is intended to be capable of providing event registration services to any Canadian in every PTSO, however, the system must also allow for the possibility that a PTSO may have a distinct system (manual or automated) for undertaking their own membership and event registration. Specifically, it is anticipated that Ontario and BC will have distinct systems from the VRS while all other PTSO’s are expected to be part of the system. As the VRS must be accessible to all Canadians, it must support both official languages.
The Canadian Volleyball Registration System (VRS) is intended to meet the following objectives:
- Allow Volleyball participants in Canada to register for activities offered by the NSO and their PTSO, including the collection of fees for those events;
- Allow Volleyball participants to register with their PTSO and NSO.
- Allow the NSO and PTSOs to maintain up-to-date information on Volleyball participants so they are able to provide both quality and efficient services in both defining and delivering their events.
- Ensure a quality customer experience in registering for events while allowing the NSO and PTSOs to have visibility and control of the customer relationship.
Note that while it is primarily intended that the VRS will provide the capability for the NSO and PTSOs to offer registration services, we wish to be able to also offer this capability in the VRS to Clubs or other Volleyball Event Organizers. In this case, the PTSO’s would be able to establish such associations as Clubs and Event Organizers in the VRS under their jurisdiction. Such associations would only have visibility into their own participants and their own events, and they should be able to set fees and accept payment for their events/services and communicate/collaborate with members/registrants.
Volleyball Canada is the corporate entity that is undertaking this proposal process and contracting with the successful vendor.
