Requirement
The City of Ottawa, Transportation department, Transit Operations (the “City”) is requesting standing offer submissions from Offerers qualified to supply and deliver Genuine Thermo King parts and components (the “Goods) NO EQUIVALENTS on an as and when requested basis, in accordance with the specifications, Terms, and Conditions of this Request for Standing Offer (RFSO)
Standing Offer Closing Date
All Offer submissions must be addressed to the attention of the Administrative Authority, identified herein, and uploaded to the MERX online tendering system by no later than 3:00 P.M. local time on Monday February 15, 2021. Late Offer submissions will not be accepted. Offers submitted by email or facsimile will not be accepted.
Inquiries and Addenda
All inquiries regarding this RFSO are to be directed to the Administrative Authority specified herein. Inquiries must be received in writing via MERX not later than Friday February 5, 2021 at Noon. Should the MERX system not accept the inquiry, Offerers may contact the Administrative Authority by email. Both the questions and answers will be distributed to all potential Offerers by way of written addendum, published in MERX, without identifying the source(s) of the inquiry. The City is not obligated to respond to an inquiry or question received after this time period has elapsed. The Offerer shall not be entitled to rely on any response or interpretation received from the City unless that response or interpretation is provided by the Administrative Authority by way of addendum.
Delivery Requirement
All prices must be tendered F.O.B. DESTINATION – Freight Prepaid. All packaging and freight costs shall be prepaid and borne by the Supplier.
The Thermoking parts and components shall be delivered to the following delivery location(s):
1500 St Laurent Blvd, Ottawa, ONT
735 Industrial Avenue, Ottawa, ONT
Period of Standing Offer
The period for placing call-ups against this Standing Offer shall from the date of authorization until 31 March 2024, without any optional extension periods.
Warranty
The Suppliers shall represent and warrant that the Work will be of a proper quality, free from any defect in manufacture, material and workmanship (100% parts and labour). Notwithstanding prior acceptance of the equipment by the City, the Supplier shall replace or repair, at its option and its own expense, any or all portion of the Work that becomes defective or which fails to conform to the requirements set out in this RFSO as a result of faulty manufacture, material or workmanship. The warranty period shall commence on the date the repair vehicle is delivered and accepted by the City and shall, at a minimum, extend for:
i. Minimum 100% Warranty of Two (2) Years or greater from time of acceptance of delivery parts
If a vehicle requires additional repairs during the warranty period due to the failure of a warrantable component, the Supplier shall e responsible for the driving, towing and/or float charges (as appropriate) to transport the vehicle to the Supplier’s facility and the Supplier shall return the vehicle to the City’s facility all at the Supplier’s sole expense, risk and responsibility.
If the Supplier and/or OEM manufacturer provided a longer warranty period, or a warranty that is more extensive in its nature, then the provisions of such warranty shall apply
