Clarifications
Question #1
Is there flexibility to determine where the janitorial products are placed for the cleaners in Location #1 - Town Hall, 524 Main Street?
Answer: Some cleaners may be kept in the cupboard spaces in the bathrooms and Kitchens as space allows. Additional cleaners may be kept in the space provided in the basement, and used to replenish the bathroom and kitchen cupboards as necessary.
Question #2
Regarding the initial "deep cleans" for each building to bring up the standard of cleanliness, would you like that the initial one time fee included in the regular pricing or is there a separate place to include the fee for transparency reasons?
Answer: There is not a separate space to provide the deep clean pricing. Please take this into consideration when providing bids on the Proponent's Response Sheets, Pages 17 to 19.
Question #3
Can the Town Hall and Library be cleaned only between 11:00pm and 7:00am (night shift)?
Answer: Cleaning of sites must occur after operating hours. In the case of Town Hall, this may fluctuate depending on meeting schedules. A planned meeting schedule will be provided annually and the contractor will be informed of any extra meetings as they are scheduled. There will be no janitorial services permitted while meetings are being held in the building. In the case of the Library, occasionally a meeting room is rented after hours, in which case the cleaner may clean the remainder
of the building but leave the meeting room for the next scheduled evening of cleaning.
Question #4
Is there a dishwasher at Town Hall?
Answer: There is no dishwasher at Town Hall.

MANDATORY SITE VISIT
It is the Proponents responsibility to become familiar with each of the five (5) facilities. Site visits are mandatory and will be held on August 14, 2025 at 10:00 am beginning at Town Hall, 524 Main Street with Facilities Manager Sandra Corkum in attendance. In the event a Proponent is unable to attend the scheduled site visits, alternate arrangements may be made with the Facilities Manager via e-mail at sandra.corkum@sussex.ca, with RFP-25-03 Janitorial Services in the subject line.
Proposals will only be accepted from those Proponents who have attended the site visits.
Proposals are requested for janitorial services for five (5) Municipal facilities for a period of two (2) years beginning January 1, 2026, with the option to extend the contract for an additional two (2) years.
Site visits are mandatory, details in attached document.
Proposals will be received at town of Sussex, 524 Main Street, Sussex, NB, until Thursday, September 25, 2025 at 12:00:00 PM - Atlantic Time. Proposals must be either mailed, couriered, or delivered personally. Proposals will not be accepted by fax or email.
